Help make the 2011 Moorlands PTA Auction a reality!! Consider becoming part of one of the Auction Sub-Committees today. Read on to learn more about the auction and the many volunteer opportunities available.
What is the Moorlands PTA Auction?
The Moorlands PTA Auction is one of the major fundraising events of the PTA. It is held every other year, usually in the Spring, at an off-campus venue. Recent Auctions have been held at Chateau Ste. Michelle Winery and the Lynnwood Convention Center. The 2009 Auction raised $25,000 for the PTA with an additional $20,000 of proceeds going directly to Moorlands Elementary.
It is a spectacular and fun-filled evening of cocktails, dinner, entertainment, and, of course, the auction itself, including:
- a "silent auction" of items donated by various businesses, parents, and other members of our Moorlands community. Items are displayed on tables throughout the auction area where guests can bid on them during the early part of the evening.
- a "live auction" where items are presented one by one with a professional auctioneer taking bids from the audience. These items are of a larger caliber and also include the highly-coveted projects created by each Moorlands classroom.
We are currently looking for chairpersons and/or volunteers for the following sub-committees:
Procurement - The most important committee that exists is the Procurement Committee, because without items to auction off, there is no auction. If you are someone who is comfortable talking to or negotiating with people in a variety of business industries, this is where we could really use your help.

Inventory – Organizes, collects, and stores procured items coming in. Also organizes the transportation of items the day of auction from storage to auctions location.

Data Input – Input all the auction items into the computer using auction tracker software (provided) with correct tracking numbers.

Catalog – This one person committee creates the auction catalog using page layout software such as Microsoft Publisher. (This person must have access to their own software, as the PTA does not provide the software). The auction inventory list, item descriptions and other important auction information will be provided to you. You will design the layout of the catalog, enter all silent and live item information into the catalog and be responsible for the printing of the catalog. Although there is some layout work which can be completed early, this task is very labor intensive just before the auction itself.

Catalog Descriptions – Create fun, detailed descriptions of items for both the silent and live auctions. Descriptions will be featured on display boards and in the auction catalog.

Class Projects – This committee works directly with all Moorlands teachers and their room parents who volunteer to help with each class’s auction project. You will provide volunteers with ideas for class projects and ensure classroom projects are completed by the deadline given.

Decorations – Creates atmosphere for the evening, decorates the auction venue.

Gift Certificates –Prepares pre-printed gift certificates for those services that do not come with an actual certificate.

Invitations - Create and prepare auction invitations for distribution.

Packets – This committee puts together auction home packets that are sent home with all Moorlands students. The packets include general auction information and procurement forms. You will also prepare auction day packets that are picked up at the door when checking in for the auction. These packets include an auction catalog, bid cards, addendums, etc.

Reservations – Collects registration information and money and sends out auction catalog prior to auction. Helps with seating arrangements.
